Handheld Management System (HMS)

HMS is Data Concepts Windows client/server middleware software that translates the information from the accounting system to the Windows Embedded computers on the sales routes. This data includes customer and product information used to determine specific contracts and promotion allowances by customer or customer groups (chains). Microsoft SQL Server is used on the host system and the handheld computers (SQL Compact).

Who Benefits:

HMS is ideal for distributors integrating handhelds for the first time or replacing their existing handhelds for new, more capable devices. It fills the gap between information that the host accounting system does not have but is required for handhelds to operate efficiently. The Terminal program screen displays the route number and communications time for both downloading (sending data to the handheld) and uploading (receiving transactions from sales). Extensive reporting including Smart Systems facilitates updating handheld devices in the field with the latest operating system or application software. HMS integrates with you accounting software. No changes are required in your host accounting application.

Your accounting software includes Customers (Accounts Receivable) and Items (Inventory). We export this data into the Handheld Management System (HMS). Information not available in your accounting software is maintained in HMS. This information includes route information, messages, invoice formats, location codes, item brand, item category, item package size, special pricing and forced items.

This program visually displays which handhelds have downloaded (received information from the host accounting system) or have uploaded (sent transactions to the host accounting software).

MobilePDF is a feature of HMS that retrieves data from the Microsoft SQL Server database and recreates an invoice with the captured signature.

System Integration

Dynamics GP IntegrationOrders, invoices, inventory and other transactions captured with the handheld computer are updated in the accounting program directly. Interfaces with many of the most popular small business and midrange accounting software programs including Intuit, QuickBooks Professional/Enterprise, Sage Business Works Gold, Peachtree, MAS 90/2000 and Dynamics-GP are available.

An accurate database to database connection with your accounting software Microsoft SQL Server database is provided. Business logic and data validation rules are supported. The result is the elimination of redundant data entry by creating and scheduling customized integrations for MobilePDQ.

The completed sales and related transactions are uploaded into HMS from the mobile computers. This information is imported into the accounting software after validity checks are completed.

EDI Photo

EDI was developed by industry standards groups in the 1990s to facilitate communication between suppliers (vendors) and purchasers of goods and services.

Orders, shipping documents and invoices were standardized into required formats that contained commonly accepted information.

These electronic documents are now known as the X12 document list. Companies that participate in this process are called trading partners.

Value Added Networks (VAN) are companies that act as a clearing house or post office. They receive transactions, examine the EDI information and route the transaction to the final recipient.
